# Introducing the Damp and Mould Inspection report

> A room-by-room damp and mould inspection with a clear written summary for the tenant, built around Scotland's new rules. Available now to every team.

Since 6 October, landlords in Scotland have had fixed deadlines for dealing with damp and mould: an investigation within 10 working days of being told, a written summary for the tenant within 3 working days of that, and repairs started within 5. If you manage lets in Scotland, much of that work lands with you.

The new **Damp and Mould Inspection** report takes you through the home room by room and produces a written summary you can send to the tenant.

It's available now to every HelloReport team, alongside your other safety and compliance reports.

## Deadlines and the tenant's summary

The report follows the Scottish Government's [guidance for landlords](https://www.gov.scot/publications/awaabs-law-guidance-landlords-scotland/), including what it says the tenant's written summary should cover: who carried out the inspection, what was found, a clear answer on whether the home is substantially free from damp and mould, and what happens next.

Each of the key dates comes with its deadline. When you record the date the landlord or agent became aware of the problem, the report reminds you the inspection should happen within 10 working days. The date the inspection finished comes with the 3-day reminder for the summary, and the target start date for work with the 5-day one.

Our guide to [Awaab's Law in Scotland](https://helloreport.co.uk/blog/awaabs-law-in-scotland-what-letting-agents-need-to-know) explains the rules and where England stands.

## Room by room

An inspection starts with the background: how the damp or mould came to light, when the landlord or agent became aware, what the tenant told you, and whether it's getting worse. You also record when it appears, for example after rain, in cold weather or after cooking and drying clothes, which helps tell condensation apart from leaks or penetrating damp.

Then you work through the home one room at a time, including rooms where you find nothing. For each room with damp or mould you record:

- the main type, such as mould growth, condensation, penetrating or rising damp, or a leak
- where it is in the room and roughly how much of the wall or ceiling it covers
- a severity rating: minor, moderate or severe
- the highest moisture reading, if you took one
- photos, starting with a wide shot and then close-ups

Every room also gets a check of its ventilation and heating. Whole-property checks then cover the outside of the building, the main heating system, active leaks, and whether common parts or a neighbouring property are involved, with space to note the factor or managing agent.

## A summary written for the tenant

At the end, you answer: **is the home substantially free from damp and mould?** If it is, you explain why. If it isn't, you record the most likely cause, the work required, a target date to start it, what will be done in the meantime, and anything that could delay the work.

The report has its own PDF layout, set out as a letter-style written summary rather than a long technical report:

- **The outcome first:** a clear statement of whether substantial damp or mould was found.
- **Key dates:** when the inspection was completed, the target date to start work, and when the tenant will next hear from you.
- **What happens next:** the cause, the work, and the steps in the meantime, in plain language.
- **Room by room:** a table of what was found in each room, with colour-coded severity.
- **Inspection details and declaration,** then photos grouped by room.

Throughout, the questions whose answers the tenant will read are marked, so you know when to write for them.

## What stays out of the PDF

The summary goes to the tenant and may be passed on. You can record that someone in the home is more vulnerable to damp and mould, but that answer never appears in the PDF.

The report also prompts you to check heating, ventilation and insulation before putting condensation down to how the tenant lives.

## Getting started

You'll find the Damp and Mould Inspection with your other report types when you start a new report. It works on the web and in the HelloReport app on iPhone, iPad and Android, so you can complete it on site. It sits alongside the [routine property inspections](https://helloreport.co.uk/property-inspection-software) you already run in HelloReport, and follows the same [capture, sign-off and send workflow](https://helloreport.co.uk/how-it-works).

This version follows Scotland's rules. A version for England will follow once the rules for private renting there are settled. If your team doesn't need it, an account owner can switch it off in your report settings.
