## Prepare the report before you leave the office

Choose the template that fits the visit. Account owners and managers set up your own inspection areas and items once, and word each rating level the way your agency describes it, and everyone works from that after. The ready-made templates stay as they are, so there is always something to start from.

For a repeat visit, start from the last completed report on that property. The areas, descriptions and ratings come across, and you choose whether defects and photographs do too. What you copy is a starting point to check on site, not a substitute for looking.

## Capture the visit on your phone, with or without signal

Walk the property with the app open. Photograph each item, rate its condition and cleanliness from Excellent to Unacceptable, and describe it by typing or by dictating. Flag a defect as general, cleaning or maintenance and it is numbered in the finished report.

Nothing waits for a connection. A basement flat or a rural let is recorded exactly the same way, and the report syncs to your account when the phone is back in signal.

## Review on the web, share as a branded PDF

Upload from the app and the report is in your account, where you can read it through, tidy a description and complete it from the web dashboard. The finished PDF carries your logo and colours, with defects summarised at the front.

Download it, email it to the landlord, or send a link to the PDF. If something comes to light after the visit, add an addendum within 60 days without reopening the report. Every report stays in your account and can be downloaded again whenever it is needed.

## Questions letting agents ask us

### Can I work without an internet connection?

Yes. The iPhone, iPad and Android apps are built to work offline. Photographs, descriptions and ratings are saved on the device and sync to your account when you are back in signal.

### Can we use our own inspection areas and items?

Yes. Account owners and managers can build templates from your own areas and items, and word each of the five rating levels the way your agency describes them. Everyone in the account then works from those templates. The ready-made templates cannot be edited, so you always have a known starting point beside your own.

### Can I start from a previous property report?

Yes. When you create a report, switch on "Copy structure and data from previous report" and pick any completed report for that property. Areas, descriptions and ratings come across, and you choose whether defects and photographs do. Everything copied should be checked and updated on the visit.

### How do we review and share the finished report?

Upload from the app, then open the report in your online account to read it through, make edits and complete it. From there you can download the branded PDF, email it or share a link to it, and add an addendum within 60 days of completion if you need to.

### Is this also suitable for inventories and check-outs?

Yes. The same account and app produce inventories and schedules of condition, check-ins with tenant review and signatures, and check-outs that compare against the inventory.
