Prepare the report before you leave the office
Choose the template that fits the visit. Account owners and managers set up your own inspection areas and items once, and word each rating level the way your agency describes it, and everyone works from that after. The ready-made templates stay as they are, so there is always something to start from.
For a repeat visit, start from the last completed report on that property. The areas, descriptions and ratings come across, and you choose whether defects and photographs do too. What you copy is a starting point to check on site, not a substitute for looking.
Capture the visit on your phone, with or without signal
Walk the property with the app open. Photograph each item, rate its condition and cleanliness from Excellent to Unacceptable, and describe it by typing or by dictating. Flag a defect as general, cleaning or maintenance and it is numbered in the finished report.
Nothing waits for a connection. A basement flat or a rural let is recorded exactly the same way, and the report syncs to your account when the phone is back in signal.

Upload from the app and the report is in your account, where you can read it through, tidy a description and complete it from the web dashboard. The finished PDF carries your logo and colours, with defects summarised at the front.
Download it, email it to the landlord, or send a link to the PDF. If something comes to light after the visit, add an addendum within 60 days without reopening the report. Every report stays in your account and can be downloaded again whenever it is needed.

Every item carries its rating, description and photographs together, so a landlord does not have to cross-reference an appendix.
